The trip was great. The settling up, historically, is not. Someone builds a spreadsheet, someone else disputes a line item, and three weeks later two people still haven't paid each other back. It doesn't have to be like this.
Why settling up gets messy
Two reasons, almost always:
- The numbers were never shared as you went. If expenses only get totted up at the end, nobody trusts the final figure.
- Everyone tries to pay everyone. With eight people, that's potentially dozens of tiny transfers — exhausting and error-prone.
Keep a running balance during the trip
If every expense is logged as it happens and split across the right people, each person's balance is always current. By the last day there's no reconstruction to do — the numbers are simply there, and everyone has watched them add up, so there's nothing to dispute.
Minimise the number of transfers
Here's the key insight: to settle a group, you don't need everyone to pay everyone. You need the people in debt to pay the people in credit, and you can always do it in at most (n − 1) transfers — usually far fewer. Instead of "Priya pays Aarav, Priya pays Sneha, Dev pays Aarav…", the optimal settlement might be just three payments that zero everyone out.
Make it easy to actually pay
A settlement suggestion is only useful if people act on it. Clear "X pays Y ₹Z" instructions, marked off as each one is completed, turn settling up from a chore into a checklist.
